How to Work Out What No-Shows Cost
A late cancellation you refill costs you very little. One you can't refill costs you the whole session. So the calculator takes your late cancellations, keeps only the share you don't refill, and prices each empty slot at what a session brings in. The deposits you keep from every late cancellation come off that.
The deposit that covers them is the one where what you keep from late cancellations matches what the empty slots cost you. It comes from your own session value and refill rate, not from a typical number.
A Deposit Does More Than Cover the Slot
A client who has paid something has a reason to show up. Together with a reminder before the session and a consultation that built a real connection, it keeps most slots from emptying at all. We walk through the gap between deposit and session in client management for tattoo artists, and why the deposit belongs at the consultation in how to run a tattoo consultation that closes bigger projects.
Clients rarely tell you the real reason they cancel, so count cancellations as their own number every month. It's one of the numbers in what tattoo artists should track.
Common Questions About No-Shows and Deposits
How much do tattoo no-shows cost an artist?
Every slot nobody fills is a session's worth of income gone, plus the drawing and preparation already done for it. Multiply your late cancellations by the share you can't refill and by what a session brings in, and you have the cost before deposits. The calculator does that for a year.
How much should a tattoo deposit be?
Enough that a late cancellation doesn't leave you carrying the loss. The calculator shows the deposit that would fully cover what late cancellations cost you, based on your own session value and how often you manage to refill a slot. Where you set it below that is your call.
Should a tattoo deposit be refundable?
A deposit only protects the slot if it is kept when someone cancels late or does not show. It is usually applied to the final price when the client turns up, so it costs them nothing extra. Say the rule clearly before anyone pays it.
Do deposits reduce no-shows?
They help, along with reminders before the session and a consultation that built a real personal connection. A client who has paid something and feels they know you is far less likely to disappear. This calculator doesn't count that effect, so the real saving from a deposit is larger than it shows.
